BVG: Spare Parts Supply via Smart Locker Pickup Station

Berlin public transport (BVG) supplies its workshops with spare parts via automated smart locker pickup stations — 24/7, fully tracked.

Situation: Spare Parts Supply Without Round-the-Clock Availability

Maintaining BVG's tram fleet requires fast, error-free spare parts supply. Previous processes were heavily bound to manual handovers, paper delivery notes and the fixed opening hours of a central warehouse.

Four challenges stood at the center: limited 24/7 availability, lack of complete traceability for each withdrawal, the complex integration into Alstom's existing SAP system for orders (ORDRSP) and delivery notes (DESADV), and the risk of wrong deliveries to the wrong depot or unauthorized withdrawals.

  • Spare parts needed to be accessible regardless of opening hours
  • Every withdrawal had to be assigned to a service order
  • Integration into SAP (ORDRSP, DESADV) was required
  • Wrong deliveries and unauthorized withdrawals had to be excluded

Solution: TIKI SHARE Smart Parcel Stations

A system of intelligent locker installations was implemented, combining hardware from C+P Möbelsysteme with the TIKI SHARE IoT platform. The systems offer compartments in various sizes, controlled via a central terminal with touchscreen and scanner.

The heart of the solution is deep SAP integration: a BVG employee orders a spare part, Alstom checks availability and sends an order confirmation (ORDRSP IDoc) to the TIKI SHARE platform. Logistics provider DAHER scans the delivery note barcode at the terminal; the system checks that it matches the correct depot and automatically opens the suitable compartment. Technicians authenticate via RFID badge or order barcode and get access exactly to the compartment with their part.

Rollout: Three Depots, One Continuous Process

The solution was installed at the three BVG depots Marzahn, Lichtenberg and Weißensee. Error-prevention mechanisms kick in automatically: if the logistics provider scans a package for the wrong depot, the system refuses acceptance; if a compartment isn't closed in time, the system generates an alarm; for unreadable barcodes, the order number can be entered manually at the touch terminal.

Result: 24/7 Availability and Complete Documentation

Technicians can pick up needed parts at any time, reducing tram downtime. Every storage and withdrawal is digitally recorded and reported back to Alstom's SAP system in real time, drastically minimizing shrinkage and search times.

Automatic validation of deliveries and withdrawals virtually eliminates mix-ups. TIKI SHARE's cloud-based architecture also allows the system to be expanded with additional stations or depots at any time.

        Frequently Asked Questions

How many depots are equipped with the solution?

Three BVG depots: Marzahn, Lichtenberg and Weißensee.

How is the order transmitted to the system?

Via SAP integration at Alstom: an order confirmation is automatically sent to the TIKI SHARE platform as an ORDRSP IDoc.

How do technicians identify themselves at the parcel station?

Via RFID badge or by scanning the order barcode.

What happens with a wrong delivery to the wrong depot?

The system refuses acceptance with the message 'Delivery wrong depot,' technically excluding mix-ups.
